NY7s Volunteer Roles

This page is for club members who will be working at the NY7s tournament. Your volunteer time is invaluable; thanks for doing everything For The Club!

You should have received an email and group chat from your team or the club asking you to sign up for the roles below. Please be sure to volunteer for *every role* you could be available for. We'll distribute the work fairly to everyone, but need to know every spot you could possibly do.

You'll have a volunteer coordinator you need to check in AND out with to get credit for your work; the credit is what gets your team paid!

Role Descriptions

Wednesday

Packet stuffing

Context: When teams arrive on Saturday, they'll be given packets that contain info sheets, wristbands, etc..

Your job: This will be sitting at a bar with your teammates filling folders with various printouts, wristbands, and give-aways.

Time commitment: About 2 hours on Wednesday evening.

Friday

Friday Field Setup

Context: This tournament takes 12-15 fields to run. They aren't all setup properly for rugby, so Friday afternoon we'll do most of the work needed to set up the fields so they're ready to go Saturday morning.

Your job: Meet up at Randall's on Friday afternoon. You and the others will put tape/chalk down on the various fields where necessary to create rugby lines. You'll also tape posts to soccer goals to creating kicking posts.

Time commitment: This is ~3 hours on Friday afternoon.

Welcome Party Host

Context: We invite incoming teams to stop by a sponsorbar on Friday so they can meet-and-greet.

Your job: Sit in front of the sponsor bar (Judy Z's, west village) for a 2 hour shift, handing out wrist-bands for tournament attendees. Have a beer, meet all the ruggers!

Time commitment: 2 hours between noon and 12am on Friday

Saturday

Field Captain

Context: We need a staff person at each field in use on Saturday to report scores and keep things running smoothly at that field.

Your job: Before games start, locate the teams and referees nearby and make sure they do their coin flip before the current game ends. When games end, report the scores via radio/whatsapp to the score tent. If teams have questions, answer them or direct them to tournament control. This is a critical role for the tournament, and you get to watch the most rugby and be the biggest part of the tournament. Finally, break down your field when the last game wraps up.

Time commitment: 7am - 4pm. (Some will leave earlier)

Parking Guide

Context: Many teams drive to Randall's and expect to be able to park. We want to tell them where to go, and let them know when areas are full.

Your job: Be aware of the parking locations and hold a sign that tells attendees where they can park. As spots fill up, move on to other locations so you can tell them what's left. Answer directions questions.

Time commitment: 7am-11am.

Runner

Context: Most of the jobs to run the tournament are pre-planned, but random things come up, so we need people who can stay with the leaders and run random tasks.

Your job: Hang out near tournament control and do what's needed. Involves walking around Randall's. Easy to watch a bunch of rugby and see how a lot of it works.

Time commitment: 7am-4pm, and involves walking around Randall's.

Saturday Field Setup

Context: Most of the field setup is done on Friday, but a few things must be done in the morning to get the fields ready.

Your job: We have to install post pads and deliver some equipment early Saturday morning. You'll have to walk around Randall's a bit, and drive around in the Ops van.

Time commitment: 6:30am-8am

Registration Tent

Context: Teams show up to play Saturday morning, and need to go to the registration tent to receive their packets and mark their readiness to play.

Your job: Hang out in the registration tent, greet the teams, and give them pre-arranged packets and goods.

Time commitment: 7am-12pm

Scoring Tent

Context: As the field captains report scores, the score tent needs to record results and update brackets so we know which teams are playing in which elimination games.

Your job: Hang out in the scoring tent and record results you get over the radio/whatsapp. Work with the senior score leaders to update results and help teams with questions.

Time commitment: 8am-3pm

Saturday Field Breakdown

Context: As the day winds down, we need to clean the fields up and return all the equipment after the final games finish.

Your job: Pull up tape, collect post pads and goal posts, and return them to the container with the Ops Van at the end of the day.

Time commitment: 4pm-5pm
